At the 41st Annual EAU Congress at ExCeL London, held from 13th to 16th March, the scale was bigger than anything we had delivered before. Multiple clients, different stand designs, and a constant flow of delegates meant one thing. Everything had to work perfectly, without drawing attention to the effort behind it.

For exhibitors, the goal is simple. Create a space where people want to stop, talk, and stay. That is where a well-run event coffee service becomes essential.

Our role was not just to serve coffee. It was to remove friction from the day, support brand presence, and keep energy levels high across the exhibition floor.

Building On Experience From Madrid

In 2025, the EAU Congress took place in Madrid. We supported the event with three coffee stands, each tailored to the client’s needs.

Those same clients returned this year in London. That continuity matters. It shows trust, and it allows us to refine what worked while improving the finer details.

This year, the scale increased significantly. What was once three stands became ten. The planning had to evolve with it.

Planning Every Detail In Advance – From Brief To Build

Each client arrives with a different vision. Some want fully branded coffee bars that align with their stand design. Others need quick, efficient service to handle high footfall.

At EAU26, we delivered:

Each stand was ready on time and performed exactly as expected.

The Logistics Behind The Scenes – Moving Parts, One Smooth Result

Executing ten coffee stands at a major exhibition requires constant movement. Our team used two vans to transport equipment, making four trips between our unit and ExCeL London. Each journey had to be timed around access windows and venue restrictions.

Setup alone took eleven hours. This included:

  • Installing coffee machines and grinders
  • Testing water and power connections
  • Preparing stock across all locations
  • Final quality checks before opening

While this was happening, stand builds were still underway. Coordination with multiple contractors ensured nothing delayed the overall schedule.

The People Who Make It Work – Calm, Confident Baristas

Behind every successful coffee catering service is a team that understands both hospitality and pressure.
At EAU26, nine experienced baristas worked across the stands. Some locations required two baristas to manage demand, while others operated as unmanned stations for convenience.

Our team leader, Monika, kept everything running smoothly. She moved between stands throughout each day, restocking supplies and supporting the team. Over the course of the event, she walked more than 17 kilometres per day. That level of movement reflects the pace of the exhibition. It also shows the level of attention required to maintain consistency across multiple locations.
